AUSTINDEEP (“we”, “us”, “our”) operates austindeep.com and three therapeutic massage locations in Austin, Texas. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have.

Information we collect

You give us directly when you book an appointment, fill out a contact form, sign up for emails or texts, apply to the DEEP Academy, or call one of our locations. This typically includes name, email, phone, the service you’re interested in, the location you want, your appointment history, payment method (handled by our booking system Mindbody — we do not see or store your full card number), and any notes you share with us.

We collect automatically when you visit austindeep.com:

  • Device and browser information (user agent, screen size, IP address — used in hashed/aggregated form)
  • Pages viewed on austindeep.com and time spent on them
  • The search query or ad click that brought you to our site (via UTM parameters and platform click identifiers including Google’s `gclid`, Meta’s `fbclid`, and TikTok’s `ttclid`)
  • A first-party visit identifier stored in a 90-day cookie on this domain so we can recognize returning visitors and tie a booking back to the marketing source that brought you here

We collect from third parties including our booking system (Mindbody), our advertising platforms (Google, Meta, TikTok), our call-tracking partner (CallRail), our email and SMS providers (Klaviyo and Postscript), and review surfaces (Google, Yelp, Instagram).

How we use your information

  • To send transactional messages (confirmations, reminders, post-visit follow-ups)
  • To send marketing messages if you’ve opted in

  • To measure how well our advertising works (cost per appointment, by campaign, by location)

Advertising and analytics data

We use third-party advertising and analytics platforms to understand how our website is used and to deliver relevant marketing. We do not sell your data.

We share hashed identifiers (one-way SHA-256 hashes of your email and phone number) with the ad platforms we run campaigns on (currently Google Ads, Meta, and TikTok) so those platforms can confirm whether their ads led to a real booking — this is called “Conversions API” or “Enhanced Conversions” depending on the platform. The hash is one-way: the platforms cannot recover your raw email or phone from it.

You can opt out of marketing-driven cookie tracking by adjusting your browser settings or using Do Not Track. Opting out will not affect your ability to book or use AUSTINDEEP services.

Phone call tracking

When you visit austindeep.com from an online ad, the phone number displayed may be a tracking number provided by our call-analytics partner CallRail. Calls placed to that number are routed transparently to the AUSTINDEEP location you intended to reach. CallRail and AUSTINDEEP record the date and time, the caller’s number, the call duration, and (where you’ve consented to recording) the audio of the call, in order to:

  • Confirm whether ad campaigns are driving real phone bookings
  • Improve our customer service quality
  • Train our call-handling team

Recorded calls are stored securely and are not shared outside AUSTINDEEP. You can request deletion of any specific recording by emailing .

API data handling

The data we collect through the Google Ads API, Meta Marketing API, TikTok Business API, and Mindbody Public API is stored exclusively in AUSTINDEEP’s private database, hosted on a managed cloud provider with encryption at rest (AES-256) and encryption in transit (TLS 1.3). Access is restricted to authenticated AUSTINDEEP employees via single sign-on with multi-factor authentication enforced.

We do not share, sell, transfer, or otherwise make available any data retrieved from these APIs to third parties. Data is retained for as long as the related advertising or appointment activity is active and is deleted within 30 days of campaign closure, account closure, or upon written request from the data subject. We comply with each platform’s API Terms of Service and applicable privacy regulations including the California Consumer Privacy Act (CCPA).

Who we share your information with

We share information only with service providers who help us run our business:

  • Mindbody — our booking and practice management system
  • Google, Meta, TikTok — advertising platforms (we share only hashed identifiers, as described above)
  • CallRail — call tracking
  • Klaviyo — email
  • Postscript — SMS
  • Stripe / our payment processors — payment handling

Each of these providers is bound by their own privacy policy and contractually limited to using your information only to provide services to AUSTINDEEP.

We do not sell your personal information.

Your choices

  • Email opt-out: click the unsubscribe link at the bottom of any marketing email
  • SMS opt-out: reply STOP to any text
  • Cookies: adjust your browser settings or use Do Not Track
  • Access, correction, or deletion: email and we’ll respond within 30 days
  • California residents: you have the additional rights granted by the CCPA, including the right to know what we collect, the right to delete, and the right to opt out of sale (which we don’t do anyway). To exercise any of these rights, email .

Unsubscribing from marketing will not stop transactional confirmations and reminders, which we send on the basis of your active appointment booking.

How long we keep your information

We keep your information for as long as you remain an active AUSTINDEEP client and for a reasonable period after your last visit (typically up to 7 years) to comply with tax, accounting, and consumer-protection obligations. Marketing data is deleted within 30 days of you opting out or of campaign closure.

Security

We protect your information with industry-standard safeguards: encrypted storage, encrypted transmission (TLS 1.3), restricted internal access, and multi-factor authentication on all admin accounts. No system is perfectly secure, but we treat your information with the same care we’d want for our own.

Children

AUSTINDEEP services are intended for adults. We do not knowingly collect personal information from children under 13.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be announced on this page with an updated “Last updated” date.
